Privacy Policy

Scheduling Reminder provides appointment scheduling and SMS reminder software to independent service providers ("Providers"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights. By using Scheduling Reminder, you agree to this Policy.

1. Who this policy covers

  • Providers - the businesses and individuals who hold a Scheduling Reminder account.
  • Clients- the end customers of a Provider, whose contact details a Provider enters so we can send appointment messages on the Provider's behalf.

2. Information we collect

  • Provider account information - name, business name, email address, phone number, time zone, and authentication account data (authentication is handled through Supabase Auth using an email magic-link; Scheduling Reminder does not use password-based or Google sign-in).
  • Client contact information - name, mobile phone number, and (optionally) email address, entered by the Provider.
  • Appointment data - appointment dates, times, service type, status, and consent attestations.
  • Billing information - processed by our payment processor (Stripe); we do not store full card numbers.
  • Message records - the content and metadata of SMS messages sent and received through the service.
  • Technical data - session cookies for authentication and basic error/diagnostic logs.

3. How we use information

We use information to:

  • Schedule appointments and send appointment confirmations, reminders, and transactional follow-up messages by SMS and email;
  • Process and parse client replies (e.g., confirmations, cancellations, opt-outs);
  • Bill Providers and manage subscriptions;
  • Provide support, maintain security, and operate and improve the service;
  • Comply with legal obligations, including consent recordkeeping.

We do not sell personal information, and we do not use it for third-party advertising.

4. SMS / text messaging program disclosures

This section governs the text messages sent through Scheduling Reminder.

  • Consent. Clients receive appointment-related text messages because they have an existing relationship with the Provider and consented to receive such messages. The Provider attests to that consent before any message is scheduled.
  • Program description. Messages are appointment-related and informational - not marketing or promotional - including booking confirmations, day-before reminders, hour-before reminders, and replies you initiate.
  • Message frequency. Message frequency varies based on your appointments (typically up to three messages per appointment).
  • Cost. Message and data rates may apply, depending on your mobile carrier and plan.
  • Opt-out. You may opt out of text messages at any time by replying STOP to any message. You will receive a confirmation and no further texts from the service.
  • Help. Reply HELP for assistance, or contact us at support@schedulingreminder.com.
  • No sharing of opt-in data. We do not sell, rent, or share mobile opt-in information, phone numbers, or consent data with third parties for their own marketing or promotional purposes. Phone numbers are shared only with our messaging subprocessor strictly to deliver the messages you have consented to receive (see Section 5).

5. Who we share information with (subprocessors)

We share information only with service providers that help us operate, and only as needed to provide the service. Each is contractually bound to protect the data:

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, or property of users or the public.

6. Data retention

We keep personal information for as long as your account is active and as needed to operate the service. After you cancel, we delete your account and appointment data within 90 days, except records we must retain to meet legal, tax, and compliance obligations (such as billing and consent records). We retain do-not-contact (opt-out) records indefinitely so we can continue to honor opt-outs.

7. Your rights

You may request a copy of your personal information, request correction, or request deletion by emailing support@schedulingreminder.com. We will respond within the time required by applicable law. Clients who wish to stop receiving messages can reply STOP at any time or contact the relevant Provider directly.

8. Children's privacy

Scheduling Reminder is not intended for, and is not directed to, individuals under 18. We do not knowingly collect personal information from minors. If you believe a minor's information has been provided to us, contact us and we will delete it.

9. Cookies and tracking

We use session cookies solely to keep you signed in and to operate the service. We do not use third-party advertising or cross-site tracking cookies.

10. California privacy rights (CCPA / CPRA)

California residents have the right to know what personal information we collect, to request deletion, and to opt out of the sale of personal information. We do not sell personal information. To exercise these rights, email support@schedulingreminder.com. We will not discriminate against you for exercising them.

11. Not a HIPAA-compliant service

Scheduling Reminder is not a HIPAA-compliant service and must not be used to transmit protected health information. Providers in healthcare-adjacent fields must use a HIPAA-compliant tool.

12. Data location

Scheduling Reminder is operated for users in the United States. We do not target or knowingly serve users in the European Union; EU data protection (GDPR) is out of scope at this time.

13. Changes to this policy

We may update this Policy from time to time. Material changes will be posted on this page with an updated effective date and, where appropriate, communicated to Providers by email.
